1. Data Controller
Clientry is operated as a sole proprietorship. Contact: privacy@clientry.hu
2. What Data We Collect
From Freelancers (Account Holders)
- Email address and password (for authentication)
- Full name and phone number (optional profile fields)
- Invoicing provider API key (encrypted at rest with AES-256)
From Clients (Form Submitters)
- Company name or full name
- Tax number (for companies)
- Billing address (post code, city, street)
- Billing email address
- Optional note
3. Purpose and Legal Basis
We process this data to create draft invoices in the freelancer's invoicing provider (e.g. Billingo) on their behalf. The legal basis is:
- Contract performance (GDPR Art. 6(1)(b)) — for freelancer accounts
- Consent (GDPR Art. 6(1)(a)) — for client form submissions, given via the GDPR consent checkbox
- Legitimate interest (GDPR Art. 6(1)(f)) — for security logging and fraud prevention
4. Data Recipients
- Billingo (or the freelancer's chosen invoicing provider) — receives client data for invoice/partner creation
- Resend/SendGrid — email delivery service
- Render.com — hosting provider (EU region)
- Sentry — error tracking (no PII transmitted)
5. Data Retention
- Client submission data in Clientry: 12 months, then automatically redacted
- Account data: retained until the user deletes their account
- Invoice data in Billingo: retained per Hungarian tax law (8 years) — managed by the freelancer, not Clientry
6. Your Rights
You have the right to:
- Access your personal data
- Rectify inaccurate data
- Request erasure ('right to be forgotten')
- Restrict or object to processing
- Data portability
- Withdraw consent at any time
- Lodge a complaint with the Hungarian Data Protection Authority (NAIH)
